We are open from 09.00 - 13.00 and 14.00 - 17.00, Monday to Friday.
The Academic Office is led by the Senior Tutor and Academic Registrar and is located on the first floor of Hartland House. The office handles all academic administration for students, from admissions to graduation.
Students are welcome to drop in at any time to discuss any academic issues, or ask any questions. We can also help with queries about admissions, College committees, University Cards, collections, internships and can stamp any official documents (such as status letters, enrolment certificates and travel cards).

Lost cards: If you have lost your University Card you will need to order a new one from the University Online Store.
Stolen cards: If your card has been stolen and you have a crime reference number the Academic Office will be able to order a new one for you free of charge.
Damaged or broken cards: If your card is damaged or has stopped working please report this to the Academic Office. If necessary a new card will be ordered for you.
Please note that cards not used on the College site for 30 days will deactivate themselves from door entry systems and you will need to visit the Lodge to have your access reinstated.
Expired cards: University cards are issued for a maximum duration of four years. If your course is longer than this, or you extend the duration of your study beyond the normal limit for your course, your card my expire and need to be renewed. The Academic Office can do this for you. Please note that cards cannot be extended beyond the end date of your course of study and if you complete your course before the current end date of your card, you card will be cancelled from the point that you are granted leave to supplicate.
The renewal process takes at least 2 working days (longer at busy times) so please do not leave requesting an extended card until the last minute as you risk loosing access to your SSO.
Alternation of options
If you have completed your exam entry and realise you have made an error or have decided to make a change then please contact the Academic Registrar, first making sure that you are still within the time limit permitted to make the change (Examination entry | University of Oxford). You will need to include the details of the examination or submission(s) to be dropped and the one(s) to be substituted; please include the title and the assessment code and have paid the change of option fee.
Withdrawal from a supplementary subject or additional options
If you have entered for more options than are necessary and wish to drop one or more of these please contact the Academic Registrar to confirm the details of the option(s) that you would like to drop. You need to do this before the submission or examination date.
The College can contribute up to 50% of the course fee for ‘Fast Track’ Modern Language Courses – information about how to this works will be circulated early in Michaelmas Term. The College cannot complete any reimbursements that have not been approved in advance.
The College can also sponsor a small number of Priority places for students applying to the ‘General and Academic’ Modern Languages Courses, based on their strong academic need for their current course of study.
Please refer to the University Guidance and, if appropriate, use the self-certification route for a short term illness. However, if you know in advance that you will need longer that the seven days that can be granted via self-certification you are advised to seek an evidence based extension from the outset. Details about the evidence required, usually a medical certificate, can be found in the student guidance document on the University website but if you are still unsure about what to provide to evidence circumstances other than ill health please ask the Academic Registrar.

Please note that it is not a requirement to involve the College in your MCE unless you wish to (although the information you submit will be available to a small number of the Academic Office team) and submitting your MCE to the College for review (rather than directly to the Examiners) if you have not previously discussed your circumstances with anyone may simply slow the process down. Usually a College Statement can only be provided if we have been given prior notice of your circumstances.
The University provides official transcripts for students who commenced study from 2007 onwards, including on-course transcripts for current students. These can be ordered via the University Online Store – full details can be found on the University website.
For students who commenced study prior to 2007, the Academic Office can provide a transcript, giving details of dates of attendance, degree course(s), examinations taken, marks achieved, and degree class. In the first instance, please complete and submit this Data Release Permission Form. For those who commenced study prior to 1989, we will provide as much information as possible on the transcript, but may not be able to include a full breakdown of academic results. In this case, we will issue a degree confirmation letter.
The University provides replacement degree certificates for all students. These can be ordered via the University Online Store – full details can be found on the University website.
If you require a letter confirming your status as a student, please print an Enrolment Certificate from the Student Service-Service. This Certificate may be used for visa applications, council tax exemption, opening a bank account, and, if necessary, registering with the police. The Academic Office will be happy to stamp your certificate for you.
If you require the College stamp for any documents, you must ensure that you bring this to the Academic Office, with identification, in good time. Only staff within the Academic Office are permitted to stamp College documents.
Students require a University Card (also known as a Bod card) to gain access to libraries, computing and printing services, and some University buildings. Payment for meals in the Dining Hall and STACs is also via your University Card. A meal account runs alongside your battels, and you can check your meal credit balance at the Dining Hall tills. Payments for meal top‐ups can be done online.
